AI & Automation
Less missed business.
Less admin.
When you're busy with customers or out on a job, enquiries and follow-ups can pile up. I set up AI assistants and practical automations to help you capture leads, keep customers informed and ask for reviews after the work is done.
What I Set Up
Practical systems for
the busy parts of the day.
Each of these can stand on its own or work together. We only set up the ones that solve a real problem in how you handle enquiries, quotes and customers today.
AI Phone Assistants
An assistant can answer when you can't get to the phone: share approved information about your services, hours and service areas, collect the caller's details and what they need, and notify you right away. Call transfers and appointment booking depend on the rules we agree and the integrations your tools support.
The assistant works only from information you've approved. It won't diagnose problems, give quotes you haven't signed off, or promise emergency attendance.
Missed-Call Responses & Lead Notifications
When a call goes unanswered, a text can acknowledge the enquiry and collect the next details while it's still fresh. New leads go straight to you by text or email so nothing sits unnoticed. If you're also using AI call answering, the two are coordinated so a caller never receives a “sorry we missed you” after they've already spoken to the assistant.
Illustrative example
New enquiry: Sarah in Collingwood. Leaking kitchen sink. Requested a callback this afternoon.
Quote Follow-Ups
Outstanding quotes get a reminder on a schedule that suits you, so you don't have to remember every follow-up yourself. Reminders use your actual quote status and stop as soon as the customer responds, accepts or declines.
Automated Review Requests
Make asking for a review part of finishing the job. I can set up a friendly text or email that invites customers to leave a Google review after completed work or payment, with timing that fits your business.
- Triggered by a reliable job-completion or payment update
- Includes a direct link to your Google review page
- Gives every customer a clear way to reach you with questions
- Prevents duplicate requests and honours opt-outs
Appointment & Customer Reminders
Confirmations, appointment reminders and useful updates go out through the scheduling tools you already use. Availability or arrival estimates are only sent when there's reliable information behind them.
Custom Admin Workflows
Connect job updates, invoicing and payment notifications where your software supports it. For example: send a job update from your phone, check the invoice details, and approve it before it goes out.
This is custom work scoped to your setup, not a standard feature for every client. The customer and job are always identified, and you approve the invoice before anything is sent.
Automated Review Requests
Make review requests part
of finishing the job.
You shouldn't have to remember to ask every customer. A review request can follow the work automatically, while customers still have a direct way to reach you.
01
The job is done
The job is marked complete or its invoice is paid in the tool you already use.
02
The invitation goes out
The customer receives a thank-you and an invitation to leave an honest Google review.
03
They can reach you
They can also reply or contact you directly if they need help with anything.
04
Reminders know when to stop
Any reminder follows the agreed timing and stops when it should.
Illustrative message
Thanks for choosing [Business Name]. If you’d like to share your experience, you can leave a Google review here: [review link]. Have a question about the work? Reply to this message and I’ll get back to you.
Example wording only. The final message is written around your business and approved by you.
How It's Done
- Every eligible customer gets the same invitation, whether the job went perfectly or not.
- No screening by rating, no incentives, and no “happy customers here, unhappy customers there.”
- The direct contact option is offered to everyone alongside the public review link, never instead of it.
- Works with an existing review system where that makes sense.
- Tracking who actually left a review depends on the tools available. I won't pretend to know what Google doesn't tell us.
Who It's For
Owners who are busy
doing the work.
This is for businesses where the person doing the job is also the person answering the phone, sending the quotes and chasing the follow-ups.
- Plumbers and service trades
- Cleaning and property-service businesses
- Auto detailers
- Other appointment-based and service businesses
How It Works
Three steps,
no big project.
Understand your workflow
I look at the tools you already use and where enquiries, follow-ups or admin get stuck.
Set up and test
I configure the agreed workflows around your business and test them before launch.
Launch and support
I help you get comfortable with the setup and provide the ongoing support we agree on.
Working With What You Have
Built around your tools,
supported by me.
Your existing software.
You don't automatically need to replace anything. Some businesses need a new platform; others just need features they already pay for configured properly, or two systems connected so information stops being re-typed.
I don't promise every integration is available, and I won't duplicate something you already have without a reason. What's possible gets assessed first, and you never need to understand the technical plumbing underneath.
Personal support.
You deal directly with me for setup, troubleshooting and the changes we agree on. No ticket queue, no account manager in between.
An assistant can answer your phone outside business hours; my own support runs on the hours and response expectations set out in your proposal. I don't offer 24/7 personal support, unlimited changes or instant fixes, and I don't guarantee uptime or business results. What I do offer is a straight answer from the person who built it.
Pricing
Priced around
your business.
Setup and ongoing support are priced around your business, the workflows you need and the tools you already use.
- One-time setup is available.
- Ongoing management can be scoped where needed.
- Software and usage costs are explained in the proposal.
Common Questions
What you're probably wondering.
Do I need a new website?
No. These services can be assessed separately from a website build. If you already have a site you're happy with, we start from there.
Do I need to replace my current software?
Not necessarily. We start with what is already working. Some businesses need a new platform; others just need existing features configured properly or a couple of systems connected.
Do I need to learn a new app?
Basic notifications can arrive by text or email, so for many workflows there's nothing new to learn. Some workflows do need an update or approval from you, and I'll walk you through those before launch.
Can the assistant book appointments?
Where your scheduling integration and the rules we agree support it, yes. Otherwise the assistant collects the details and you confirm the booking.
How do automatic review requests work?
An agreed completion or payment event triggers an invitation with a link to your Google review page, plus an optional direct contact route. Every eligible customer receives the same invitation.
Can customers contact me privately?
Yes. All customers can be offered a direct contact option alongside the opportunity to leave a public review. It's an extra route for questions, not a filter in front of the review link.
Can you work with Jobber or HighLevel?
Often, yes, but existing features and integration options need to be assessed first. What's possible depends on your plan, your settings and what each tool exposes.
Is everything AI?
No. Many of the most useful steps are straightforward automations: a trigger, a message, a notification. AI is used where it genuinely helps, like answering calls.
What does ongoing support include?
Scope, included changes and response expectations are agreed in the proposal, so you know exactly what's covered before anything is set up.
